Description

The Administration role supports the administrative functions of our numismatic operations. This position involves handling various administrative tasks related to consignment processing, auction coordination, shipping & receiving, and client communication.

Essential Job Duties/Responsibilities:

  • Assist with the intake and processing of consignments, including logging items into the inventory system, generating documentation, and coordinating with the cataloging team.
  • Ensure the accurate and timely recording of consignment details, including item descriptions, condition assessments, and consignor information.
  • Maintain organized records of consigned items, tracking their movement throughout the consignment process.
  • Support the auction coordination team in preparing for upcoming auctions, including scheduling, logistics coordination, and administrative tasks.
  • Assist in the preparation of auction catalogs, proofreading listings, verifying information accuracy, and formatting content according to company standards.
  • Coordinate with shipping and logistics partners to facilitate the transportation of auction items to and from the auction site.
  • Serve as a point of contact for clients, responding to inquiries, providing updates on consignment status, and addressing any concerns or questions in a timely and professional manner.
  • Assist with client registrations, bid placements, and payment processing during auction events, ensuring a seamless and positive experience for participants.
  • Maintain confidentiality and discretion when handling sensitive client information and transactions.
  • Provide general administrative support to the numismatic department, including data entry, file organization, correspondence drafting, and other clerical tasks as needed.
  • Assist with inventory management, conducting periodic audits, reconciliations, and updates to ensure accuracy and completeness of records.
  • Collaborate with cross-functional teams, including finance, marketing, and operations, to support departmental goals and initiatives.

Required Skills/Proficiencies:

  • Attention to detail and Time management.
  • Computer programs: Office 365, Word, Excel, Internet Navigation, Internal System Navigation and Word Processing.
  • Effective communication skills, both verbal and written, with the ability to collaborate seamlessly within all employees and customers.

Part-Time: $23.00 – $26.00/hr
